3HO Men’s Camp largely runs on “seva”, or selfless service. This helps keep the camp affordable and provides men with the opportunity to support the camp and to develop their skills while experiencing the joy that comes from being in service to others.

JOB POSTING: ADMINISTRATOR + REGISTRAR

OVERVIEW

The 3HO Men’s Camp Administrator and Registrar plays an important role in the success of 3HO Men’s Camp. Responsibilities include communications with people who are interested in attending the camp, supporting registrants through the process of registering, and coordinating transportation to and from the camp.

RESPONSIBILITIES

Your responsibilities include:

  • Communication

    • Responding to inquiries received by email related to all aspects of the camp.

    • Ensuring that Work Exchange applicants receive a timely response to their application.

    • Being a liaison with the retreat centre (Khalsa Centre).

    • Communication and coordination with teachers and staff.

    • Sending emails to participants leading up to the camp and ensuring they’re well informed on the details (e.g. the start time, what to bring).

  • Registration

    • Assisting registrants ith the online registration process.

    • Processing refunds.

    • Ensuring that signed disclaimed, medical, and audio/video sign-off forms are received from all participants.

    • Assigning specific lodgings (room and bed) to all participants, taking into account requests made while registeressigning specific lodgings (room and bed) to all participants, taking into account requests made while registering.

    • Providing regular updates to the 3HO Men’s Camp Board, including the number of registrants.

    • Printing name tags for everyone who’s registered up until the day before the camp begins.

    • Ensuring that all registration material, including welcome packages, disclaimer forms, and name tags, are transported to the camp the morning that that the camp begins.

  • Transportation

    • Coordinating the shuttle service between Yoga West and Khalsa Centre.

    • Coordinating the rental of a van to transport luggage to and from the camp.

    • Reserving parking for the shuttle with the City of Vancouver.

    • Providing information on ride-sharing opportunities.

  • On-Site Registration (if attending)

    • Managing the registration process at Khalsa Centre.

    • Providing training to men who are assisting with the registration process.

    • Ensuring that men are directed to their accommodations.

    • Ensuring that all payments are made and documents are signed when men arrive at the camp.

QUALIFICATIONS

To qualify for this position you need to have excellent communication skills, strong computer skills, and previous experience working in an administrative capacity. Previous event-management experience is a strong asset.

This position is available to both men and women. The On-Site Registration responsibilities would be assigned to someone else if you’re not going to be attending the camp.

HOURS & COMPENSATION

The position would begin immediately and continue until after the camp is complete (August 14, 2020). A monthly allocation of hours will be agreed upon, with the number of hours increasing as the camp draws closer.

Compensation is $18 – $22 (CAD) an hour, depending on experience.
